MACF Study Committee Meetings
Two study committee meetings per year
are required, and many of you will be convening your first study
committee meeting during this residency. If you have already
made your meeting times, please take this opportunity to confirm
the day and time with your committee, and also make sure that
you have arranged for a place to meet.
If you haven't made a date yet, remember,
special times have been set aside for meetings, since your attendance
is required during the courses.
Study Committees with at-a-distance
members
If a member of your committee is not in Portland, and will be
joining you on the telephone during the meeting, you are responsible
for arranging the conference call, and making sure the committee
member knows which number to call. If you want to use a speaker
phone, you must contact the center to reserve it. Also, if there
is a time zone difference between study committee members, double
check the time - and don't forget, daylight savings will have
begun in Oregon.
The goal of the study committee meeting
You are the facilitator of the study committee meeting. The task
of the committee is to support, review, and evaluate your learning,
to make plans for the next phase of study, and work on any issues
that you or your committee may have about your studies.
Preparing for the meeting
Since the meetings are meant to review your progress in the program,
you should get all the relevant information for the meeting beforehand
and send it to your committee about a week before the meeting.
This information consists of feedback you have received form
your courses, list of sessions with advisors, supervisors or
other study committee members, reports, journals, or any other
support documents necessary. Also, bring your student record
books to the meetings because you will need to obtain signature
for sessions and for the meeting itself.
Meetings last one hour, and in order to
get through all the material in that short time span, you may
want to set a beginning agenda for the meeting, and send it agenda
to all the members beforehand.
After the meeting
Remember, you are responsible for writing up a report of the
meeting, with the feedback and plans for further learning, and
sending it to the members for their approval. Once approved by
the study committee members, the report gets sent to the registrar.
